Reception & Admin Assistant

Job Description

We are looking for a disciplined, highly organized, emotionally strong, and professional Reception & Admin Assistant.

This person will not only manage reception and administrative duties but will also play a key role in customer service support and HR coordination.

You will be the face, voice, and operational backbone of the organization.
You must be able to handle serious pressure, communicate clearly, solve problems quickly, and protect the brand of the company at all times

Duties and Responsibilities

Key Responsibilities
A. Reception Duties

Professionally receive and welcome clients, partners, and visitors

Answer and direct incoming calls professionally

Manage visitor records and meeting coordination

Maintain a clean and organized reception area

Handle courier services and document dispatch

B. Administrative Duties

Manage physical and digital filing systems

Draft letters, memos, and internal communication

Schedule meetings and coordinate management diaries

Prepare reports and documentation

Maintain office supplies and inventory control

Support proposal formatting and documentation

C. HR Support Duties

Assist in recruitment (CV screening, interview coordination)

Conduct reference checks before job offers

Maintain employee records and documentation

Track attendance, leave, and HR compliance

Support onboarding and induction processes

Ensure staff adhere to company communication standards

D. Customer Service Support

Handle client inquiries professionally (phone, email, walk-ins)

Follow up on client issues and ensure resolution

Escalate urgent client matters immediately

Track and monitor customer feedback

Support after-sales follow-ups

Assist in maintaining CRM records (Odoo is an advantage)

Ensure clients receive timely communication

E. Communication & Coordination

Monitor official communication channels

Ensure tagged messages are responded to promptly

Follow up on pending tasks

Maintain discipline in communication standards

3. Key Performance Indicators (KPIs)

Professional handling of clients and visitors

100% organized documentation system

Zero unresolved client complaints

Timely HR record updates

Weekly admin and customer service report submission

Strong communication compliance

Qualifications and Experience

REQUIRED EXPERIENCE

Any qualification will do

Excellent verbal and written communication skills

Strong problem-solving ability

Ability to multitask under pressure

Strong organizational skills

Knowledge of MS Office and CRM systems

High integrity and confidentiality
