As the Property Manager, you will be the frontline defender of legal compliance and financial integrity within sectional title schemes. You will be responsible for applying expert knowledge of the STSMA and CSOS Acts, managing budgets, coordinating statutory meetings, and resolving day-to-day homeowner billing and maintenance issues. This is not just a property role; it's about problem-solving, preserving owner relationships, and optimizing scheme financial processes.
1. Legal & Statutory Compliance
• Maintain in-depth knowledge of the Sectional Title Schemes Management Act (STSMA) and the Community Schemes Ombud Services Act (CSOS) to ensure full compliance.
• Liaise with the CSOS on dispute resolution matters as required.
• Ensure all scheme governance documents (conduct rules, management rules) are up-to-date and enforced.
2. Financial Management
• Lead the budgeting and forecasting process, including the preparation of annual budgets for Trustee approval.
• Monitor levy collections, reserves, and operating costs against the approved budget.
• Provide variance reports and financial recommendations to the Trustees.
3. Systems & Technology
• Ability to use MDA (Property Management Software) for daily accounting, levy administration, and owner tracking.
• Ability to use WeConnectU for resident communication, document sharing, maintenance requests, and online voting.
4. Meeting Coordination & Governance
• End-to-end coordination of statutory online meetings, including:
• Annual General Meetings (AGMs)
• Special General Meetings (SGMs)
• Developer Meetings
• Prepare agendas, minutes, and ensure quorum requirements are met via digital platforms.
5. Homeowner Support & Relations
• Provide day-to-day support to homeowners regarding billing inquiries (levy statements, arrears, interest charges).
• Troubleshoot and log maintenance issues, coordinating with vendors and contractors for timely resolution.
• Serve as the primary point of contact for resident concerns, complaints, and service requests.
6. Reporting
• Prepare and present monthly and quarterly reports to Trustees, Directors, and Property Owners.
• Reporting financial summaries, maintenance status, legal updates, and owner communication logs.
• Minimum 2–3 years of experience in sectional title or community scheme management.
• Accredited with Paddocks, NHBRC, or recognized property management body (preferred).
• Proven proficiency in MDA and WeConnectU is essential.
• Solid understanding of STSMA and CSOS legislation.
