Job description

The Operations Registrar oversees registry and administrative functions across institutional projects, including managing records, coordinating registrations and supporting stakeholder communication. This role also coordinates budgeting processes, monitors project expenditures and conducts monitoring and evaluation activities. In addition, it prepares operational reports and contributes to strategic planning through data analysis, stakeholder engagement and performance tracking to ensure efficient and accountable project delivery.

Duties and Responsibilities

Key responsibilities

Supervise and manage the registry function, ensuring the maintenance of accurate and comprehensive records for all projects and participants.
Coordinate the registration and onboarding processes for students and researchers participating in projects and programmes.
Manage and safeguard project documentation, records, and institutional information in accordance with established policies and procedures.
Serve as the primary liaison for enquiries relating to project participation, administrative processes and stakeholder engagement.
Provide administrative support for grant applications, funding opportunities and project incubation initiatives.
Coordinate the identification, consolidation and monitoring of budgetary requirements for projects and institutional programmes.
Monitor project expenditures and prepare reports on budget utilization, variances and resource requirements.
Conduct monitoring and evaluation activities, including the collection, analysis and reporting of performance data and key indicators.
Prepare periodic reports on project activities, participant engagement and operational performance for management review and decision-making.
Contribute to the development and implementation of institutional strategies through stakeholder engagement, environmental scanning and performance tracking mechanisms.

Qualifications and Experience

Requirements

A Bachelor’s degree in Public Administration, Business Administration, Monitoring and Evaluation or any related field.
At least 3 years of relevant experience in administration, registry management, project coordination, monitoring and evaluation or institutional operations.
Key competencies

Strong report writing, communication and stakeholder engagement skills.
Proficiency in Microsoft Office applications and familiarity with database or project management systems.
Strong organisational skills, attention to detail, and ability to manage multiple priorities.
High level of integrity, confidentiality and professionalism.
