The job description for an optometric clinic administrator entails managing the business and people side of the practice to support the clinical team.
Duties and Responsibilities
1. Operational & Staff Management.
Oversee Daily Operations: Manage the overall workflow, patient flow, and scheduling to maximize efficiency and minimize wait times.
Supervise Staff: Recruit, hire, train, schedule, and evaluate administrative, optical, and clinical support staff. This includes coaching, performance management, and fostering a positive workplace culture.
Implement Policies: Develop, implement, and maintain standard operating procedures (SOPs) to ensure consistency and quality in clinic operations.
2. Financial & Revenue Management
Manage Budgets & Finances: Preparing and managing the clinic's budget, track expenses, monitor accounts receivable, and control costs.
Oversee Billing & Revenue: Ensure accurate patient billing, manage insurance claims and reimbursements, and monitor the revenue cycle to ensure compliance and financial health.
3. Patient Experience & Compliance.
Enhance Patient Experience: Ensure high-quality customer service from check-in to check-out, and handle escalated patient complaints or concerns professionally.
Ensure Regulatory Compliance: Maintain compliance with healthcare regulations, including Pharmacists Council of Zimbabwe (PCZ), Health Professions Council (HPA) and AHFoZ, as well as optometric association (Zimbabwe Optometric Association) standards and privacy laws. This often includes acting as the clinic's privacy officer.
4. Inventory & Vendor Management
Manage Inventory: Oversee the ordering and maintenance of clinical supplies, contact lenses, and optical frames.
Liaise with Vendors: Manage relationships with vendors, negotiate pricing, and handle equipment maintenance or replacement needs.
Qualifications and Experience
Education: A Bachelor's Degree in a related field such as Business Administration, Health Administration, or a similar discipline is commonly required or preferred. However, some employers may accept equivalent experience in lieu of a degree.
Experience: A typical requirement is 3 to 5 years of experience in a supervisory or management role, ideally within a healthcare, optometry, or medical practice setting. Some senior roles may require 5 to 7 years. Experience in an optometry clinic specifically is often listed as a requirement or a strong asset.
Technical Skills: Proficiency with Electronic Medical Records (EMR), Health 263 or practice management software is essential. Strong knowledge of Microsoft Office, particularly Excel, is also commonly required.

· leadership and communication skills to manage diverse teams. They need analytical and problem-solving abilities to interpret operational metrics, improve processes, and make sound decisions.
· Organizational skills and the ability to manage multiple priorities in a fast-paced environment are also crucial.
