Job Description

We are seeking a proactive, dependable Office Administrator who enjoys day-to-day office life and can handle real-world operational tasks without fear or hesitation. This role includes supporting office duties, running errands around Harare, managing documents, controlling stationery, and tracking company property.

You must be comfortable navigating the practical challenges of running an office complex office requests, courier/document follow-ups, office vendors, and day-to-day issue resolution while maintaining professionalism and confidentiality.


Key Responsibilities

1) Day-to-Day Office Support

  • Support daily office operations to ensure the office runs smoothly.

  • Assist staff with administrative needs (as directed by the Operations/Office Manager).

  • Coordinate and follow up on office tasks to timely completion.

2) Running Office Errands & Navigating Harare

  • Run errands locally in Harare, including collection and delivery of documents, confirmations, and supplies.

  • Follow internal procedures for approvals, receipts, and documentation for every task.

  • Navigate office-related practical issues (e.g., dealing with offices, service providers, queues, and follow-ups) while maintaining a calm and confident approach.

3) Document Management

  • Manage document filing, sorting, and retrieval (both physical and, where applicable, electronic records).

  • Maintain organized records for contracts, letters, invoices, and internal documents.

  • Ensure confidentiality of company information and safe handling of sensitive documents.

4) Stationery & Supplies Control

  • Monitor stationery usage and maintain stock levels.

  • Request and distribute stationery and supplies as needed.

  • Maintain stationery registers/logs and ensure proper documentation for supply requests.

5) Company Property & Assets Support

  • Keep track of company property assigned for daily operations (e.g., office equipment, tools, printing supplies, safety items—if applicable).

  • Assist with simple asset logs, issue/return tracking, and basic condition monitoring.

  • Flag missing, damaged, or non-performing items to management.

6) Vendor & Supplier Coordination (Where Applicable)

  • Liaise with couriers, printers, cleaning suppliers, and other vendors as assigned.

  • Collect quotations, delivery confirmations, and receipts when required.

  • Support procurement requests by ensuring documents are complete and filed correctly.

7) Compliance, Housekeeping & Professional Conduct

  • Maintain a clean and organized office environment.

  • Ensure office processes are followed consistently (receipt handling, approvals, document storage).

  • Represent the company professionally during errands and external interactions.


Required Profile

  • Degree in Accounting, Administration, Business Managemen, Logistics or Procurement or related qualification

  • Valid class 4 drivers lisence is a MUST. Don't apply if you don't have a drivers lisence.

  • Must be comfortable working in an office environment and willing to take initiative.

  • Strong practical knowledge of Harare and the ability to navigate errands efficiently.

  • Reliable, punctual, and able to work with minimal supervision.

  • Confident communication skills and good judgment when handling office-related issues.

  • Ability to manage documents carefully and maintain confidentiality.
